What you need to know about the role
As an Office Manager & Sales Support Specialist, you will join our eight-person Central Eastern Europe Sales Support Team, supporting the daily operations of our Water Treatment business.

Your role will combine office management, administration and sales support, with one very important mission: to be the heart and soul of our office, creating a welcoming, well-organised and positive working environment for everyone.

We are looking for someone who genuinely enjoys working with people, takes pride in making things run smoothly and treats the office with the same care and ownership as their own space.

You will be the first point of contact and go-to person for colleagues, visitors, customers and business partners. Whether someone needs help solving an everyday problem, organising a meeting, finding the right contact person or simply making things happen, you will be the person they can rely on.

Your key responsibilities:

  • Create a welcoming, friendly and supportive office atmosphere where colleagues and visitors feel comfortable and well taken care of.
  • Act as the first point of contact for employees, guests, customers and external partners, helping them navigate everyday questions, requests and challenges.
  • Take genuine ownership of our office environment, treating it with care, attention and a proactive mindset.

Daily tasks include:

  • Support our business and sales operationsCoordinate daily office operations, including supplies, equipment, service providers and general workplace organisation.
  • Manage incoming correspondence, phone calls, deliveries and administrative requests.
  • Organise meetings, coordinate calendars, welcome visitors and support internal events and team activities.
  • Handle office purchases, maintain relationships with external suppliers and ensure the office is always ready for a productive working day.
  • Support the flow of information, documentation and data related to sales, installation and servicing of water treatment systems, financial and HR records.
  • Assist with purchase orders, invoices, supplier coordination and basic financial administration.
  • Maintain accurate information in internal databases, ERP systems and administrative records.
  • Support the organisation of business events, exhibitions, industry fairs and customer meetings.

While this is primarily an office-based role, you will occasionally travel within Prague and the surrounding area to ensure things get done. Visit public offices, suppliers, event venues and external partners whenever personal coordination or follow-up is needed.

What we are looking for

  • Previous experience in office administration, office management, executive assistance or a similar coordination role.
  • A naturally people-oriented personality – someone approachable, warm, helpful and genuinely interested in supporting others.
  • A strong sense of ownership and responsibility, with the mindset of "I take care of it" rather than "It's not my job."
  • Excellent organisational skills, attention to detail and the ability to manage several priorities independently.
  • Confidence in communicating with colleagues at all levels, customers, suppliers and external institutions.
  • A proactive, practical attitude and the ability to solve everyday challenges with common sense and a positive approach.
  • Good English communication skills (minimum B2).
  • Confidence in working with MS Office, particularly Excel.

Extra credit for:

  • Experience supporting sales, service or technical teams would be an advantage.
  • Familiarity with ERP systems, invoicing, basic accounting or administrative databases would be beneficial.

What we offer:
Stable employment under an employment contract in an established international organisation.
A friendly, collaborative team where people know each other, support one another and value genuine relationships.
A role with real ownership, independence and the opportunity to make a visible difference to everyday office life.
The opportunity to work closely with colleagues across different functions and develop a broad understanding of our business.
Comprehensive onboarding and ongoing support from experienced colleagues.
Opportunities to develop administrative, organisational and business support skills in an international environment.
