Key Responsibilities:

  • Managing and maintaining the CEO’s calendar – planning and coordinating business and personal meetings, travel, activities, and other commitments.
  • Overseeing the CEO’s personal agenda – handling day-to-day personal matters, including private meetings, events, and family-related responsibilities.
  • Managing corporate contracts and key documents – preparing documents for signature, overseeing contract lifecycle management, and coordinating the full workflow of contracts. Liaising with lawyers, auditors, and other external partners to ensure smooth processing and execution.
  • Maintaining and organizing the company’s dataroom – ensuring access and regular updates of all key corporate and investor documents, managing access rights for both internal and external stakeholders.
  • Preparing meeting minutes – regular preparation and updating of reports related to ongoing tasks and overseeing the team's task completion
  • Coordinating meetings with Managing Directors of international branches – organizing and managing meetings between headquarters and international offices, including meeting minutes and follow-up on action items.
  • Preparing presentations in collaboration with the Business Development Manager – creating professional materials for business opportunities and internal meetings.
  • Creating weekly reports – regularly preparing and updating reports related to ongoing tasks and deliverables.
  • Upholding confidentiality and discretion – working with sensitive information and maintaining the highest level of trust and professionalism.
  • Being a “sounding board” and strategic partner to the CEO – offering support, feedback, and insights in decision-making and strategic planning.

Requirements:

  • Proven experience in a similar position (preferably in an international environment).
  • Excellent organizational skills and ability to multitask effectively.
  • Advanced proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and project management tools.
  • Professional level of English (daily communication in English required).
  • High degree of flexibility and a proactive, problem-solving mindset.
  • Mature personality with the ability to work independently and cooperatively.
  • Strong sense of discretion and confidentiality when handling sensitive information.
  • Confident, positive, and “can-do” attitude.
  • Discreet and trustworthy, with a strong sense of responsibility.
