We are looking for an experienced and reliable professional who will ensure the smooth running of both the business and personal lives of our Owners. This role is perfect for someone who enjoys variety, is highly organized, and can stay calm and composed even in a fast-paced environment.

This role is also a key link to the company’s executive team. You will coordinate communication across different parts of the organization, track tasks and decisions, and prepare clear, well-organized materials for important meetings, ensuring that everything runs smoothly.

Your Responsibilities

  • Complete a broad variety of administrative tasks for the owners including managing an extremely active calendar of appointments; serve as a key point of contact and communication, ensuring priorities are met and workflows run smoothly.
  • Provide "gatekeeper" and "gateway" role, creating win-win situations for direct access to the owner's time and office
  • Preparing documents and agenda for the meetings ahead, making sure the owner has time to revise his agendas prior to his meetings
  • Communicate directly, and on behalf of the owners, with other directors and managers, staff, and others, on many and various matters; provide a bridge for smooth communication between the owner's office and internal departments
  • Work closely and effectively with the owners to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately
  • Liaise with high profile contacts and staff
  • Assist with personal appointments and activities, supporting a balanced daily routine.
  • Manage the Owners’ Datové schránky (official electronic mailboxes) – receive, send, and direct messages to relevant team members.
  • Collaborate with internal teams (Finance, HR, Marketing, Sales) while maintaining alignment with the Owners’ priorities.
  • Organizing internal and external meetings and visits, must be prepared to welcome and assist distinguished visitors, including diplomats, government officials, and members of royal or high-profile circles.
  • Stay informed about new digital tools and trends and use them to improve efficiency and workflow.
  • Coordinate complex travel accommodations and monitor itineraries
  • screen and direct incoming telephone calls, emails and mail; manage correspondence in a professional manner
  • Manages and organizes and maintains the owner’s documents and files, keeping everything in order and easy to find
  • A key member of the executive team with confidence, supporting top management by prioritizing communication and workflow, coordinating tasks, tracking priorities, and serving as a trusted voice for the Owners.

Who You Are

  • You have at least 5 years of experience in a similar executive or personal assistant role.
  • You are organized, adaptable, and skilled at managing multiple priorities.
  • You are detail-oriented, proactive, and able to find solutions quickly and independently.
  • You always maintain strict confidentiality and act with professionalism.
  • You have excellent communication skills and a strong appreciation for art and culture.
  • You are fluent in English, both written and spoken.
  • You are proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint) and comfortable using new technologies.
  • You are responsible, independent, and able to anticipate the Owners’ needs.
