Job Description: Purchasing and Planning Coordinator

Location: Litovel, Czechia - Confitex Technology EU

Reports to: Supply Chain and Warehouse Manager

 Employment Type: Full-Time, On-Site

Role Overview:

We are seeking a Purchasing and Planning Coordinator to support our production operations in Litovel. The role focuses on monitoring production forecasts and ensuring timely procurement of raw materials from suppliers across China, the EU, and other global markets. You will work closely with the Supply Chain and Warehouse Manager to ensure on-time delivery, correct quantities, and required quality standards of all raw materials, components and services needed for production and business operations.This role supports supply chain continuity by balancing demand forecasts, inventory levels, and supplier performance while ensuring cost efficiency and compliance with internal procedures. This role collaborates closely with production, logistics, and suppliers to mitigate supply risks, resolve delivery issues, and contribute to the achievement of operational and business objectives.

Key Responsibilities:

1. Main responsibilities:

· Monitor production forecasts and translate demand into raw material purchase requirements

· Planning production/orders/capacity based on orders, forecasts, and available resources.

· Place and manage purchase orders for raw materials with suppliers in China, the EU, and other regions

· Creating and updating plans (short-term and medium-term) in line with the company's needs.

· Coordinate closely with the Supply Chain Manager to ensure continuity of supply

· Track order confirmations, lead times, deliveries, and resolve supply issues proactively

· Ensure raw materials meet required quality and quantity specifications

· Maintain accurate purchasing, supplier, and delivery documentation

· Communicate daily with international suppliers in Czech, English, and Chinese

· Support administrative purchasing processes and internal reporting

· Collaborate with internal teams including production, quality, logistics, finance and sales

2. Planning:

· Compiling production and purchasing plans with regard to deadlines, capacities, and inventory levels.

· Continuous evaluation of plan fulfillment and resolution of deviations (delays, changes in priorities, non-deliveries).

· Optimizing inventory – setting and monitoring minimum and maximum inventory levels.

· Working with forecasts and sales/customer data.

3. Purchasing:

· Actively searching for new suppliers (both local and foreign) and developing the supplier portfolio.

· Communicating with suppliers, processing inquiries and orders.

· Negotiating prices, delivery terms, and contractual conditions.

· Checking delivery dates, resolving non-deliveries, delays, and complaints.

· Cooperation in the evaluation and selection of suppliers.

4. Documentation and administration:

· Securing and managing all documentation related to purchasing, in particular:

o orders, contracts, and framework agreements,

o delivery notes, invoices, and accounting documents,

o certificates, technical and quality documentation from suppliers.

· Recording of purchasing and planning data

· Checking the compliance of documentation with internal processes and legislative requirements.

5. Operations, processes, and development:

· Setting up, improving, and standardizing planning and purchasing processes in a newly opened company.

· Participating in the creation of internal guidelines and work procedures.

· Preparing regular and ad hoc reports for company management.

· Actively participating in projects focused on streamlining the supply chain and costs.

Required Qualifications & Experience

· University degree in logistics, purchasing, supply chain, economics, or a technical field (high school diploma with relevant experience acceptable).

· Minimum 3 years of experience in purchasing, supply chain, or a related role

· Experience with production planning, capacity and material requirements planning (MRP), working with forecasts and customer data.

· Practical experience in purchasing materials, raw materials, and services, including searching for suppliers and negotiating business terms.

· Fluent Czech, English, and Chinese (spoken and written); Ability to actively communicate in English (min. B2) – daily communication with foreign suppliers and colleagues.

· Advanced user knowledge of ERP/MRP systems and MS Excel (analysis, planning, reporting).

· Ability to coordinate across departments (production, logistics, quality, finance, sales).

· Analytical thinking, ability to evaluate deviations from the plan, solve problems, and set corrective measures.

· Strong administrative skills with high attention to detail

· Advanced proficiency in Microsoft Office (Excel, Outlook, Word required)

· Ability to work in a fast-paced production environment

· Experience with implementing or improving processes in the area of planning and purchasing is an advantage.

· Independence, responsibility, organizational skills, and result orientation.

· Experience working with international suppliers, especially Asia, is highly desirable
