About the Role & Team
We are looking for a proactive and service-oriented Office Coordinator to ensure our Ostrava office runs smoothly, safely, and professionally. This role combines reception excellence, facilities management, health & safety coordination, onboarding support, and selected executive assistance. You will be the first point of contact for visitors and employees and a key partner to HR, IT, Finance, and Legal. What You’ll Do
Office & Reception
- Manage daily reception operations and visitor experience
- Handle mail, shipments, and meeting room coordination
- Support internal events and employee engagement activities
Facilities & Operations
- Oversee office maintenance, repairs, cleaning services, and supplies
- Coordinate with building management and service providers
- Manage office purchases and vendor invoices
- Ensure a safe, functional, and well-organized workplace
Compliance & Safety
- Coordinate Health & Safety and Fire Safety inspections
- Manage access cards and office keys
- Ensure compliance with workplace safety requirements
Employee & Executive Support
- Support onboarding and office orientation for new hires
- Assist with document signatures and confidential administrative matters
- Provide day-to-day support to employees and stakeholders
What You Bring
- Strong organizational and multitasking skills, common sense
- Professional and welcoming communication style
- Ability to work independently and proactively
- Min. 1 year in a similar position (at least on a part-time basis)
- Willing to be present in the office min. 3 days per week (Mon-Wed preferred)
- Basic understanding of H&S (“BOZP & PO”) and office compliance (advantage)
- Experience with vendor coordination and office budgeting (advantage)
- Fluent Czech and good English communication skills
