Summary of Position
The Program Coordinator is a key member of the Program Management team, supporting the daily operations of the Prague office and contributing to a high-quality experience for all program participants. The role serves as a primary point of contact for students, addressing their needs, concerns, and overall well-being throughout their time in the program.
The position also focuses on planning, coordinating, and delivering a wide range of extracurricular activities across all Prague programs, while ensuring compliance with CIEE standards. The Program Coordinator collaborates with local and global teams, faculty, host institutions, and external partners to deliver engaging, safe, and well-organized programming that enhances the study abroad experience. The role also includes oversight of student life and support for orientation and on-site services.
The successful candidate will be detail-oriented, adaptable, and customer-focused, with a strong interest in international education, as well as excellent organizational and communication skills in both Czech and English. This is a fixed term position with an immediate start.
Duties and Responsibilities
Participant Support & Program Delivery
- Provide high-quality, reliable, and comprehensive support to participants across all CIEE Prague programs, ensuring issues are addressed promptly and effectively.
- Support participants throughout the program lifecycle, including pre-arrival communication, arrivals, on-site orientation, ongoing wellness check-ins, and extracurricular and cultural activities.
- Organize, coordinate and deliver participant services, including orientations, extracurricular activities and events, and community impact opportunities, while fostering positive group dynamics and an inclusive, respectful environment.
- Assist with incident management, including communication with home universities as needed, and provide local support in handling health, safety, and administrative matters.
- Participate in a 24/7 on-call rotation to respond to emergencies and student well-being concerns.
Administrative & Cross-Functional Support
- Oversee administrative aspects of programs related to participants, including visas, program documentation, financial processes and other internal and external requirements, in alignment with organizational standards.
- Collaborate with colleagues across Prague Program Management, Academics, Housing, and Finance & Operations divisions, as well as with CIEE Global teams and other centers.
- Maintain familiarity with and follow CIEE policies and standard operating procedures.
Operational Support
- Coordinate and oversee the work of temporary or part-time staff, as applicable.
- Support the daily operations of CIEE Prague programs and contribute to their smooth and effective delivery.
Outreach, Engagement & Program Development
- Support program promotion efforts, including creating marketing and promotional materials such as social media content.
- Contribute to ongoing improvement of programs and services, and actively develop skills and competencies in line with performance goals.
Other
- Participate in occasional site visits by CIEE and university personnel, including presentations and evening and weekend activities.
- Participate in staff teambuilding and other such activities both within and outside of working hours.
- Other tasks and duties connected to the operation of the CIEE Study Center, the delivery of CIEE programs, and the support of participants and teachers, as assigned by the Senior Program Manager/Center Director.
CIEE’s programming, procedures, and annual targets and goals can be expected to evolve over time as the organization pursues its mission, and as best practices evolve. In addition, the circumstances surrounding the delivery of services by CIEE Prague, such as enrollment levels, can be expected to be variable in ways that require the organization to respond and adapt. Given this, staff members are expected to respond flexibly and resiliently to these changing circumstances, learning new skills and information as needed, proposing solutions to emergent issues, and implementing new policies and processes as needed.
Work Hours and Place of Work
CIEE programs often involve predictable, scheduled activities, events, and duties such as Arrivals, On-Site Orientations, Activities, Excursions, and Emergency Phone staffing; these may occur outside typical business hours. In addition, occasional unpredictable or emergency tasks will be required as circumstances dictate; these may occur outside of typical business hours and are compensated according to the Czech labor law.
While the place of work is usually the Study Center or outside of it for participant activities and excursions, the Senior Program Manager may assign remote work, usually in the form of work-from-home, from time to time as circumstances warrant.
Knowledge and Skills Required
The successful candidate will:
- Have experience working with international students, preferably U.S. students, and demonstrate patience, understanding, and problem-solving skills in responding to student needs.
- Be able to complete tasks independently, follow up reliably with limited supervision, and work effectively as part of a small team to achieve shared goals.
- Adapt with patience and flexibility to changing circumstances such as shifting deadlines, emergencies, or unexpected events, while maintaining a positive and professional attitude.
- Show enthusiasm for their work, demonstrate a willingness to go the extra mile, and contribute to delivering high-quality study abroad programs.
- Possess strong interpersonal and communication skills in Czech and English, with excellent written and verbal abilities in both languages.
- Feel confident presenting to groups and engaging participants as an energetic and approachable leader.
- Be customer-oriented, detail-focused, and results-driven.
- Demonstrate cultural sensitivity, respect for differences, and interest in international education and professional development.
- Be proficient in Microsoft Office (Word, Excel, PowerPoint); experience with visual design software is an asset.
- Hold at least a Bachelor’s degree.
