This is not just another assistant role. You will become the trusted right hand to a Board Member and play a key role in both strategic decision-making and the execution of key projects within an international company.
The role requires a high level of ownership, flexibility, and resilience. You will operate in a dynamic and fast-changing environment, covering a wide range of topics across both business and personal agendas. In return, you will gain unique insight into how the company operates and the opportunity to be directly involved in key decisions.
We are looking for someone who feels comfortable in a dynamic environment, can anticipate needs, and comes up with solutions before problems arise. The ability to bring structure to complex situations and consistently follow things through to completion is essential.
Key Responsibilities:
- Managing and coordinating the Board Member’s calendar, including business and personal meetings, travel arrangements, and daily priorities
- Coordinating and overseeing the personal agenda with a strong emphasis on discretion and reliability
- Managing contractual and key documentation, including preparation for signature, coordination of the full contract lifecycle, and communication with legal advisors, auditors, and external partners
- Co-managing and organizing the company’s data-room, including access control and regular updates of key corporate and investor documentation
- Preparing meeting minutes, tracking tasks, and ensuring timely follow-through on action items
- Coordinating meetings with Managing Directors across international branches and supporting communication between headquarters and local teams
- Preparing presentations in cooperation with the Business Development Manager
- Preparing regular reports and overviews of ongoing projects and key deliverables
- Handling sensitive information with the highest level of confidentiality and professionalism
- Acting as a trusted partner and sounding board to the Board Member, actively supporting decision-making and strategic initiatives
Requirements:
- Previous experience in a similar role supporting senior leadership, ideally within an international environment
- Excellent organizational skills with the ability to manage multiple priorities effectively
- Advanced proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and experience with project management tools
- Professional level of English (daily communication required)
- High level of flexibility, proactivity, and a solution-oriented mindset
- Mature and reliable personality with the ability to work both independently and collaboratively
- Strong sense of discretion and confidentiality when handling sensitive information
- Positive, can-do attitude with a strong sense of ownership and responsibility
