Summary of the job
An exciting opportunity for a technically minded and process-driven individual to join our small, dynamic Trust, AI & Privacy Office team (Trust Office) at RWS. This team is responsible for embedding trustworthy and compliant data handling processes across our global operations, with a special focus on the governance and use of Artificial Intelligence.
The Trust, AI & Privacy Operations Analyst is the central technical and process pillar of our team's operational excellence. The core of this role is to automate and enhance the organization’s data subject rights (DSR) process, leveraging technology to ensure every request is handled efficiently, accurately, and in strict compliance with global data protection legislation.
Beyond DSR automation, the Analyst will take ownership of critical technical and operational functions for the Trust Office. This includes managing and optimizing our privacy and risk management platforms, developing automated workflows, creating automated data-driven reports and dashboards, and managing the team’s digital systems and portals to drive efficiency and support our compliance goals.
Success in this role requires a strong analytical mindset, a passion for process automation, and the ability to apply technical solutions to complex compliance challenges. The ideal candidate will be a proactive problem-solver and clear communicator who is passionate about leveraging technology to advance AI and data privacy compliance.
Key Responsibilities
DSR Process Automation & Analytics
- You will assume end-to-end ownership of the DSR lifecycle, with a primary focus on automating manual processes. This includes developing scripts and workflows to automate the intake, logging, and triaging of all incoming requests.
- You will design, build, and maintain automated systems to track and manage stakeholder follow-ups, reducing the need for manual chasing.
- You will leverage data analysis and scripting to review and collate responsive information, and develop templates for automated response generation.
- You will be responsible for creating and managing real-time dashboards to report on DSR statistics, identify trends, and highlight recurring issues for process improvement.
- You will continuously seek opportunities to re-engineer and improve the DSR workflow through technology, escalating complex or sensitive matters to senior team members for guidance.
Platform Management
- You will act as the team's technical subject matter expert (SME) for our privacy management tools, taking ownership of system configuration, workflow automation, and potential API integrations.
- You will manage the complete lifecycle of our AI & Privacy Assessment process by building, testing, and deploying dynamic assessment templates and questionnaires within platforms.
- You will design and implement automated workflows to manage assessment launches, track progress with business stakeholders, and ensure timely completion.
- You will develop automated reports and metrics dashboards to provide the team with full oversight of the assessment pipeline and status updates.
Digital Content and Systems Management
- You will take technical ownership of the Trust, AI & Privacy Office's intranet site, focusing on automating content updates and improving user experience through analytics.
- You will use site engagement data and user feedback to identify opportunities for enhancement and work with internal teams to implement technical updates.
- You will ensure all digital content and documentation is accurately maintained and easily accessible through well-organized and efficient systems.
Operational Reporting and Technical Support
You will provide comprehensive technical and operational support to the wider Trust, AI & Privacy Office. This includes:
- Building and automating the generation of reports and management information.
- Developing and maintaining key statistics and operational metrics dashboards.
- Supporting the technical delivery of training and awareness initiatives.
- Managing team documentation and process records in a structured, scalable manner.
Skills & Experience
- A minimum of 2 years of experience in an operations, technical, data analyst, or compliance-focused role.
- A genuine and demonstrable interest in the evolving landscape of data privacy, artificial intelligence governance, and trust.
- Proven experience in automating manual processes.
- Strong analytical skills with experience in data analysis and visualization (e.g., using Excel, Power BI, or similar tools).
- Exceptional organizational and time-management skills, with a proven ability to manage multiple concurrent tasks and meet strict deadlines.
- Excellent written and verbal communication skills in fluent English.
- Proficiency in the use of the standard MS Office suite (particularly SharePoint, and advanced Excel functions) and AI chatbots. Experience with or a strong aptitude for learning and mastering platforms like OneTrust, including its API and workflow automation capabilities.
