Join our KNX Team and help keep everything running smoothly behind the scenes.
This is a temporary position covering a maternity leave.
We are looking for a highly organized, proactive, and detail-oriented Team Assistant to support the KNX Team in its daily operations. In this role, you will be at the heart of the team, ensuring seamless coordination of administrative, financial, logistical, and operational activities.

What will you do?
- Purchase Order (PO) Management
- Manage the end-to-end purchase order process, ensuring accuracy, compliance, and timely execution.
- Maintain a clear overview of all purchase orders and proactively monitor their status.
- Partner with the KNX Team to ensure transparency and correctness of PO requests.
- Collaborate with Finance, Procurement, and vendors to resolve discrepancies and answer inquiries.
- Identify and address potential issues early to prevent payment delays and process bottlenecks.
Product Ordering & Vendor Coordination
- Order products, devices, and supplies needed by the team.
- Track deliveries and follow up with vendors to ensure timely arrival.
- Resolve ordering, invoicing, or delivery-related issues in a proactive and efficient manner.
R&D Devices Inventory Management
- Maintain oversight of the R&D devices inventory and ensure accurate records.
- Conduct inventory audits twice per year.
- Coordinate the allocation, handover, and return of devices across the team.
- Support effective tracking of device movements and availability.
Shipment Coordination
- Manage and track daily shipments, ensuring accurate documentation and on-time delivery.
- Coordinate with internal and external stakeholders to resolve shipping-related issues.
- Ensure smooth logistics processes while maintaining high attention to detail.
Events & R&D Visits Support
- Support the planning and execution of team events, workshops, and R&D visits.
- Coordinate schedules, invitations, venue bookings, catering, and event logistics.
- Prepare agendas and ensure participants have everything needed for a successful experience.
- Work closely with colleagues to create well-organized and engaging events.

- Proficiency in Microsoft Office applications, particularly Excel, Outlook, Teams, and PowerPoint.
- Fluent English, both written and spoken.
